Privacy Policy

Last updated October 22, 2026

HI MOVE is the moving truck reservation and inspection platform operated by Homes of Idaho (“we”, “us”). This policy explains what information we collect when an agent reserves a moving truck for a client, how that information is protected, and who can see it.

1. Information we collect

Agent account information. Name, email address, phone number, brokerage association, account approval status, and the billing authorization you accept when you register.

Client and driver information. The client’s full name, phone number and email address, a photo of the driver’s licence of the person driving, and a photo of their current personal automobile insurance card or declaration page.

Reservation and inspection records. Pickup and return dates and times, time-stamped photos of the odometer, fuel gauge, cargo area and any damage, mileage and fuel readings, reported damage notes, and lockbox access records.

Signed agreements. The signed moving truck release of liability and parking waiver, including the signer’s typed legal name, drawn signature, and date and time of signing.

Vehicle telemetry. Our moving trucks carry Bouncie vehicle tracking devices. We may record truck telemetry whether or not a truck is reserved, including its location, speed, fuel level, battery and engine health, and impact or collision events.

Activity records. Sign-ins, document uploads, agreement sends and signatures, access code generation, and administrative actions are recorded in an internal activity log.

2. How we use this information

  • Confirming that the person driving is licensed and insured before a truck is released.
  • Scheduling reservations and keeping truck availability accurate.
  • Generating time-limited lockbox codes so keys can be collected and returned securely.
  • Documenting vehicle condition, mileage and fuel at pickup and return.
  • Investigating damage, accidents, theft or misuse of a vehicle.
  • Processing authorized incidental charges such as fuel, cleaning, late returns or damage.
  • Sending reservation, agreement and trip notification emails.

3. How your information is protected

Driver’s licences, insurance cards, signed agreements and inspection photos are stored in private, encrypted cloud storage. They are never published, never given a public web address, and are not indexed by search engines.

When an authorized person opens one of these files, the system creates a temporary link that expires within minutes. All traffic between your device and HI MOVE is encrypted.

Agents can only see their own reservations, their own clients and their own documents. Fleet-wide access — including vehicle tracking data — is limited to Homes of Idaho administrators.

4. Payment information

HI MOVE does not collect, transmit or store full credit card numbers, card security codes or bank account numbers. When you register, you agree that applicable fuel, cleaning, late return or damage charges may be billed to the payment method Homes of Idaho has on file through our separate accounting system. Charge requests are reviewed and processed by our back office, not inside this app.

5. Electronic signatures

Moving truck agreements are signed electronically. Consistent with the federal ESIGN Act and the Idaho Uniform Electronic Transactions Act, we retain the exact terms presented, the signature, and the date and time of signing so the record can be produced in the event of an insurance claim or dispute.

6. Who we share information with

We do not sell, rent or trade personal information. Information is shared only with:

  • Homes of Idaho staff who administer the moving truck program.
  • Service providers that make the program work — our cloud hosting and database provider, email delivery provider, calendar provider, smart lockbox provider and vehicle tracking provider — each only receiving what they need to perform their function.
  • Google Calendar receives truck names, client names, reservation identifiers, pickup and return times, locations, and the booking agent's email for invitations. Calendar access is controlled by the connected Google account.
  • Bouncie supplies vehicle telemetry used for fleet oversight, low-fuel and out-of-area alerts. Document images may be processed by automated verification services to assist staff review.
  • Insurers, law enforcement or legal counsel when required by law or necessary to investigate an accident, injury, theft or damage claim.

7. How long we keep records

Reservation records, inspection photos, signed agreements and activity logs are retained for as long as needed to support insurance, tax and liability requirements. Driver’s licence and insurance images are retained for the period required to resolve any claim arising from the rental. Telemetry supports fleet operations and incident review. Contact us about retention or removal; this app does not automatically delete records on a fixed schedule.

8. Your choices

You can turn optional reservation, account and eligible staff email alerts on or off in My account. Security messages and client agreement communications are separate from those preferences.

You may request a copy of, correction to, or deletion of your personal information by contacting us. Some records — signed agreements, inspection records and activity logs — must be retained for legal and insurance reasons and cannot be deleted on request.

9. Children

HI MOVE is intended for licensed real estate agents and adult drivers. We do not knowingly collect information from anyone under 18.

10. Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last revised, and continued use of HI MOVE means you accept the current version.
